9) Setting up contacts for customers and suppliers

Good day and welcome to the ninth post on this simple bookkeeping blog, thanks for hanging around for so long... I hope you managed to get at least some useful information from this blog by now.

Today we want to cover the contacts or cards repository in your accounting software:

a.       This is a repository for all the contacts your business has, they are grouped into four groups: customer, suppliers, employees and others.

Having your business contacts in your Accounting Software is important to be able to use their details in invoices, to send them emails, to have their bank account and so on.

b.      All of them have some common details and multiple locations.

The common details include names, telephone numbers, email and fax as well as multiple location addresses for each contact.

c.       Some have specific feature: employees have employment details, suppliers have bank details in case you want to pay them electronically

When you create a specific kind of contact you will be able to add specific kind of information for that contact.

For example when you create a new supplier record, you will see a button ¢â‚¬Ë"Supplier Details¢â‚¬â„¢ which will allow you to enter the Supplier bank details and ABN which are required in order to pay the supplier using EFT/ABA files and to enter their ABN on the purchase order printouts.

When you add a new contact for an Employee you will see the button ¢â‚¬Ë"Employee Details¢â‚¬â„¢ where you can edit your employees details, thing like superannuation percentage, wages, salary cycles, contact details, banking details (for EFT) and so on.

d.      You can even add a photo

With Nominal you can even add a photo, still contemplating how useful this feature really is J

Usually the contact details are viewed in a card template, but you can also select to view it in a tabular form by selecting the Table View from the dropdown.

Sometimes you would just create your contacts manually and enter the details for each by hand, but other times you already have the information in another form or system and you just want to import the list of contact into your Accounting Package.

Nominal Accounting currently supports importing contact details from the following sources:

‚·         Microsoft Outlook

‚·         QuickBooks cards

‚·         Cashflow Manager cards

‚·         MYOB cards

‚·         PayPal contacts

‚·         Magento contacts

‚·         VirtueMart contacts

‚·         ZenCart contacts

‚·         CSV (comma delimited) text file

Keeping an accurate list of your business contacts is a best practice which goes further than just your bookkeeping efforts. But I am sure you already knew that.
